Campsite Rules

Pekin Saddle Club Campsite Rules and Conditions

 

Section I: Eligibility for a Campsite
a.    Campsite Applications (form #1) will only be accepted from qualified members.
b.    Members must be at least twenty-one (21) years old to be eligible to apply for a campsite.
c.    Any new campsite applications after September 2011 - members must own a horse to qualify for a campsite. This ruling does not apply to members who were assigned to a campsite before September 2011.
d.    All stalls must be boarded


Section II Campsite Waiting List
Application forms that are completed and signed will be dated, and the applicant's name will be added to the waiting list upon submission. As sites become available, members at the top of the list (the next in line) will be contacted by phone or text to arrange a date for them to view the site. Members will have fourteen (14) days to respond. If there is no response after 14 days, the member will move to the bottom of the waiting list. However, if a member chooses to pass on a site, they will retain their current position, and the next member on the waiting list will be offered the site.

Section III-Campsite Conditions, Inspections, and Violation Steps
a.    Campsites will be inspected on the 2nd weekend of each month, starting in April through October.
b.    If your campsites need attention after inspection, you will receive a text message regarding the condition of your campsite. If no Response to text, there will be a phone call 24 hours after with voicemail left. 
c.    You will have until the second weekend of the following month to comply.
d.    If no response, your campsite will be forfeited back to Pekin Saddle Club
e.    You will no longer receive a "Certified Letter" regarding a violation (effective April 2025)
f.    Please make sure we have your current phone number. It is your responsibility to keep Pekin Saddle Club notified of any change.

Section IV-Membership Dues
In the event of delinquency of membership dues, your campsite will be forfeited and will be available to the next qualified member on the campsite waiting list. See Article 3 Section 3 -
"The membership fee will be payable on or before the March meeting. The membership dues plus late fee will be accepted no later than the April meeting. If dues are not paid by the April meeting, the membership will be canceled as well as any club privileges.


Section V New Construction
Any new campsites to be constructed must be reviewed and approved by the campsite committee regarding location and size before construction. All stalls or decks must be constructed of wood.


Section VI Usage of Campsite
You are not permitted to use another member's campsite without the permission of the assignee. If you are permitted to use another member's campsite, you must leave it, at least, in the same condition that you found it. If you use a campsite without permission and are asked to leave the site by the assignee and refuse, you will be in violation and subject to Article 11 Section 3 -
All members shall conduct themselves in a moral and respectable manner at all times. In all situations, you are to use your campsite in a way that you do not impede another member's use of the club facility.


Section VII Spring and Fall Flings
a.    During Spring and Fall Flings, campsites will be used by the assignee only, unless a signed form that the assignee "gives permission" to the Campsite, Security, or Trail Ride committees to use sites for parking and camping if needed. This ruling will be on all new applications for a campsite. A member will need to mark (YES, I give permission for use of my site if needed) or (NO, I do not give permission for use of my site on the Spring and Fall Flings only).
b.    All assignees who have a site now will be mailed a form to get all forms updated and on file. This is a one-time form for assignees who already have a site. The forms will be kept in the building for the campsite, security, and trail ride committees' reference.


Section VIII-Campsite Returns: Must fill out Form #3
Any campsite that is returned for any reason will be inspected by the Campsite Committee before it is reassigned to any member. The reason for this inspection is to make sure that the returned campsite has good enough boundaries, and that the campsite is in good enough condition to be offered to the member that is next on the campsite waiting list.
 
Section IX-Campsite Trade�: Must fill out Form #4
If two members want to trade campsites, they must both contact the campsite committee, and both sign a form stating that they are trading. This is required so the paperwork is on file for the records and the campsite map can be updated.


Section X-Campsite Co-Camping: Must fill out Form #5
Members wishing to co-camp their site must fill out and sign a Co-Camp form available from the Campsite Committee. The co-camper will also have to fill out and sign the form. These forms need to be presented to the Committee. This is required so the paperwork is on file for the records, and the campsite map can be updated.·
